Senior Staff Accountant - Accounts Payable (AP)

San Antonio, TX

Position Summary

The Senior Staff Accountant - Accounts Payable is responsible for managing the full-cycle accounts payable process, ensuring vendor invoices are processed accurately and payments are made in accordance with company policies and contractual terms. This role maintains accurate vendor records, ensures strong internal controls, and supports month-end close and reporting activities.

Key Responsibilities

Invoice Processing:
  • Review and process vendor invoices, ensuring proper documentation, approval, and accurate coding to general ledger accounts and cost centers.
  • Perform two-way matching of receipts and invoices when applicable.
Payment Processing:
  • Prepare and execute weekly payment runs, including checks, ACH, and wire transfers.
  • Ensure payments are approved and processed in accordance with established authorization controls.
Vendor Management:
  • Maintain vendor master data, including W-9 documentation.
  • Support the annual 1099 reporting process and respond to vendor inquiries.
Reconciliations & Expense Review:
  • Reconcile vendor statements and investigate discrepancies or outstanding balances.
  • Review and reconcile corporate credit card transactions and employee expense reports for policy compliance.
Controls & Close Support:
  • Maintain supporting documentation and schedules for audits and internal reviews.
  • Assist with month-end close activities, including accounts payable reconciliations and accrual support.

Qualifications

Education:
  • Bachelor’s degree in Accounting, Finance, or related field.
Experience:
  • 3-5 years of accounts payable or general accounting experience, preferably in a high-volume or multi-entity environment.
Skills:
  • Strong understanding of accounts payable processes and internal controls.
  • Experience with ERP or accounting systems, Sage Intacct®, QuickBooks®.
  • Advanced Microsoft Excel® skills
  • Strong attention to detail and organizational skills.
